ADMINISTRATIVE ASSISTANT for PRACTICE MANAGEMENT

Description:

Positions Location: Lansing, MI


General Purpose of Job:

Coordinate and assist independent administrative operations and support services required by the Operations Director. Perform a wide variety of duties such as database maintenance, correspondence, reports, schedules, budgets, supply and service requisitions and presentations which may be confidential in nature. Computer skills including MS Office (Word, Excel, PowerPoint), Access database management and e-mail.

Essential Duties:

This job description is intended to cover the minimum essential duties assigned on a regular basis. Associates may be asked to perform additional duties as assigned by their leader. Leadership has the right to alter or modify the duties of the position.


  • Performs various word processing, typing and proofreading duties such as correspondence, forms, tables, charts, records, schedules, etc. often confidential in nature
  • Enters physician payroll and supervisor payroll for SMG.
  • Manage, arrange, prioritize and communicate calendar and daily schedule of Directors
  • Research issues, draft correspondence, memos and other written materials to communicate in an effective tactful manner. Track responses and follow-up obligations.
  • Research and coordinate production of audio visual material for presentations, research background or audience and arrange for all necessary equipment to be available at presentation sites.
  • Answer, screen, monitor, route, relay information and respond to telephone calls and visitors, physicians, and board members
  • Establish, maintain and revise record keeping including accounts payable and filing systems; organize and maintain CME for physicians; classify, sort, and file correspondence, articles, records, and other documents.
  • Arrange meetings and conferences, schedule interviews and appointments and make travel arrangements.
  • Prepare and distribute minutes to appropriate parties.
  • Engage in variety of external contacts to obtain or relay information, arrange meetings, etc. Often dealing with other hospitals, business executives, physicians, and external regulatory agencies.
  • Open, sort, prioritize and distribute mail and prepare responses to routing inquires.

Education

Associate's degree in office administration or other related field and minimum of 1 year of administrative assistant experience OR high school diploma and a minimum of 3 years administrative assistant experience.


Specialized Knowledge and Skills

Demonstrated ability to interact efficiently and effectively with others. Demonstrated ability to exercise discretion and judgement in relaying information, responding to requests and prioritizing workloads. Excellent oral and written communication skills. Must be able to demonstrate proficiency with Microsoft Office applications (Word, Excel, Powerpoint). Highly organized and effective time management skills. Demonstrated proficiency in word processing, spreadsheet, presentation graphics and database management including MS Office (Word, Excel., PowerPoint), and Access
