  • Supports and works with Design Managers to help document designer workflow and project cadence
  • Support new Partner and new consultant on-boarding with key resources, systems access, etc.
  • Coordinate and schedule design review sessions, including gathering documents and preparing agendas on behalf of design review leaders
  • Archive management of the internal file server
  • Assist with first steps of onboarding of new partners
  • Coordinate consultant and vendor meetings and visits
  • Own coordination and communications for RVP meetings, partnering with Design Managers to coordinate notes and comments prior to distribution to the team
  • Coordinate design review meeting notes with designers and distribute
  • Assist with Smartsheet reports / design team share boards
  • Provide workload visibility to both past and future projects. Goal is to identify available time to focus on design related tasks that can help with both personal and career development
  • Support the design team in preparation for Quarterly Snapshots for leadership
  • Own cadence and senior / director sign off of open cafe photos
  • Professional Photography scheduling, photo drive organization and general support for leadership
  • Manage library and material samples

As the North Atlantic Design Admin, you will…

  • Own, manage and organize the established process for consultant proposals, billing, contracts, invoices and payments with the cross functional team; may include routing for approval(s) and facilitating support when issues arise
  • Pulling plans & related backup materials quickly for work stream projects and renovation scoping sessions
  • Be responsible for sharing internal file server access to outside consultants (AOR / Civil engineers, etc.)
  • Own all note taking and coordination for cross functional plan approval meetings to ensure all notes are captured and relayed accordingly to the teams
  • Align with other Regional Admin. and cross functional team members on processes that best support the team

  • Excellent capability to assist the Design team with day to day tasks
  • Excellent communication skills
  • High level of self-drive and self-management
  • Openness to participate in daily design conversations with the team
  • Proficient in Microsoft Office suite / Smartsheet / Adobe suite preferred
  • Experience in architectural design or construction
  • Supports a design, creative or similar organization
  • Basic knowledge of architectural design software (Revit, Sketchup, AutoCAD, or similar).
