Job Summary

Advancement at CU Boulder encourages applications for a Temporary Advancement Scheduling Assistant! The Assistant plays a crucial role in supporting initiatives for the Parent Giving and Boulder Advancement Programs unit. This role is responsible for providing administrative, scheduling, and operational support to the parent giving fundraising team. The scheduling assistant's main role is to increase outreach to incoming parents to facilitate the early engagement of these families with the CU Boulder and their regional development director. This position reports to the Managing Senior Director of Development for Advancement.

What Your Key Responsibilities Will Be

  • Responsible for scheduling prospect and donor meetings for four frontline fundraisers through phone and digital channels.
  • Expertly communicate and serve as a point of contact in coordinating parent prospect/donor meetings in Northern and Southern California, New York Tri-State area, mid-Atlantic region, Pacific Northwest, Texas, Chicago, and Boston. The outreach to incoming families is essential during the August-March timeframe to engage our parents with the CU Boulder community.
  • Use technical and analytical skills to evaluate data to support four seasoned directors of developments with portfolio engagement and donor outreach.
  • Facilitate positive relationships with parent prospects and donors to activate and support the constituent’s philanthropic journey.
  • Enter all contact reports in the CU Ascend donor database and ensure timeliness and accuracy of the information.
  • Represent the parent giving unit at events to support the university and cultivate donors.
  • Support stewardship and cultivation of donors through personalized outreach, especially around Parent Leadership Society related events.

What You Should Know

This is a temporary, part-time position anticipated to last into March 2025. This position works a hybrid schedule with some days on campus and some days remote.

What We Can Offer

The pay range for this position is $20.00 - $25.00 per hour.

Temporary positions at the University of Colorado are not benefits-eligible, however, all positions are eligible for paid sick leave.

What We Require

  • High school diploma or GED.
  • 1+ years of direct work experience. Education can substitute for the experience on a year-for-year basis.

What You Will Need

  • Excellent customer service skills.
  • Ability to operate independently; has a self-learner/self-starter demeanor.
  • Ability to exercise a high degree of tact, discretion, and collaboration with all levels of staff members, faculty, alumni, and donors.
  • Ability to work with accuracy and attention to detail.
  • Ability to coordinate technical presentations including hardware set up. Ability to quickly master Advancement’s CRM database.
  • Data entry skills with ability to input information accurately; prepare and maintain detailed records, files, and reports on an ongoing basis.
  • Strong communication and time management skills.
  • Ability to manage multiple tasks simultaneously, adapt to changing priorities, manage time and meet set timelines.
  • Knowledge of general office procedures and protocol.

What We Would Like You to Have

  • Experience working in a higher education advancement unit.
  • Experience in or understanding of a non-profit or higher education environment.
  • Experience in customer service and/or an administrative support role.
  • Software Used: Microsoft Office products, DocuSign, Zoom, Teams, Marketplace, and Concur.
