Job Description

The Vail Valley Foundation (VVF) is seeking an experienced Volunteer and Operations Manager with attention to detail and a passion for the mission of the Vail Valley Foundation. The position plays a critical role within the larger Operations Department at the Vail Valley Foundation. The Volunteer and Operations Manager will take lead roles within the areas of volunteer management and coordination and provide Operations administrative support, as needed. This position reports directly to the Sr. Director, Operations. This position requires an outgoing, friendly, organized person who can plan and implement throughout the year and enjoys interacting with others in a fast-paced work environment.

PRIMARY RESPONSIBILITIES

Volunteer Manager

  • Oversee and manage volunteer logistics tied to VVF events, programs and venues.
  • Be the first point of contact for volunteers, volunteer coordinators and VVF Managers.
  • Work with the Sr. Director, Operations and other VVF Managers to determine volunteer needs and build out volunteer plans.
  • Manage the volunteer process including scheduling. recruitment, registration, onboarding, oversight, and recognition.
  • Manage volunteer orientation process with volunteer coordinators.
  • Oversee and maintain the volunteer database, to ensure all information is up-to-date and accurate.
  • Develop and implement overall volunteer recruitment strategy and execution.
  • Ensure communication strategy, calendar and methods are consistent with VVF brand standards and meet company expectations.

Operations Administrative Support

  • Assist the Sr. Director, Operations with equipment, facility, contractors, vendors, and suppliers’ bids, invoicing and contracts.
  • Support the Operations Team in the creation and management of comprehensive schedules and documents.
  • Assist with VVF owned assets and warehouse operations.
  • Assist with logistics across all events.

REQUIREMENTS

  • Bachelor’s degree preferred
  • Minimum 2 years of experience in event operations, preferred to include experience in managing volunteers.
  • Proven organization, time-management, administrative and computer skills.
  • Ability to work in a team environment.
  • Ability to work closely, cooperatively, and professionally with internal and external associates.
  • Self-initiative, attention to detail and a customer-centric philosophy.
  • Previous experience working and excelling in a fast-paced, multi-level, project-based environment with emphasis on timelines, quality, and delivery.
  • Exceptional relationship management, problem solving and negotiation skills.
  • Ability to manage large groups of people and enjoy being on the front lines working with people.
  • Excellent oral, written and communication skills.
  • Capable of remaining focused and calm under stressful situations and able to quickly adapt to changing conditions.
  • Working knowledge of budgets, forecasts and profit and loss statements.
  • Strong computer skills utilizing Microsoft Office programs and general knowledge of Adobe Creative Cloud programs.
  • Willingness to work irregular and long hours during events.
  • Willingness to work in warehouse/storage units and outdoor conditions with variable weather.
  • Must have a valid driver’s license and be able to successfully pass a Motor Vehicle background check.

ADDITIONAL DETAILS

This is a salaried, full-time year-round position eligible for all VVF employment benefits.

Salary Range: $60,000-65,000
