As the Human Resource Administrative Specialist, you will be responsible for coordinating a variety of support functions for the Human Resource department along with providing exceptional customer service to all internal and external customers to the department. In addition, this position oversees the Human Resources intern through allocation of work assignments and evaluation of performance. To be successful in this position, you will need to have a high level of flexibility, be a team player and demonstrate the ability to troubleshoot/solve problems quickly and effectively.

Essential Job Functions

  • Greets team members, customers and visitors, and receives phone calls and general correspondence for the department. Responds to inquiries by authorized individuals for team member information.
  • Assists with team member recognition and retention programs and activities, including company events and functions, ordering gifts for the Years of Service program, managing employee photo boards, and scheduling and staffing of company tours.
  • Serves as first point of introduction to new team members on their first day. Collates orientation materials and assists new hires with completion of required paperwork. Prepares Form I-9 for completion, including reviewing provided documents, and performs E-Verify related tasks.
  • Generates pre-established reports from the Human Resource Information System (HRIS). Organizes, reviews, and distributes accurate report files in a timely manner to identified recipients. Coordinates with Human Resource Systems Analyst to review and correct report inaccuracies.
  • Serves as point of contact for SkillBridge program applicants and coordinates with department managers based on skill set and interest. Manages required paperwork and timelines of SkillBridge Interns and, with the on-site Recruiter, ensures compliance with the program.
  • Performs clerical functions including correspondence, data entry, photocopying, mail distribution, bulletin board maintenance, and DATV communication slides. Ensures adequate supplies of materials for the department and new employee orientation packets, and places orders as needed.
  • Maintains employee files by ensuring that filing material is filed accurately and in a timely manner. Conducts routine audits of files to ensure documents are filed appropriately.
  • Provides general assistance to team members for activities, projects and programs. Oversees the Human Resources intern, and ensures proper allocation of time and resources.
  • Performs other duties as assigned by management.

Education and Experience

  • Associates degree in Business or related field, or equivalent work experience, required
  • Proficiency with Microsoft software (Word, Excel, Project, etc.) required
  • Minimum two years previous human resources, customer service, or related work experience preferred
