Role Summary (Hybrid Role based in Victoria, B.C.)

Reporting to the VP, Finance, t he Office Coordinator is responsible for overseeing and coordinating various office operations and procedures. They will administer facility-related Service Desk Ticket, processing purchase and supply orders, issuing/revoking building access cards and contacting service providers to proactively address facilities issues. They will also coordinate facility and office activities, arrange catering and meeting spaces for events. Candidates for this role should have excellent communication, organizational, and multitasking skills, a strong attention to detail and the ability to work well with competing priorities. This position is often privy to confidential information and as such, requires a high degree of professionalism, diplomacy and discretion.

The Office Coordinator will be based in our Victoria, BC office, but will assist the VP, Finance in supporting corporate offices throughout Canada.

Your typical week at Maximus

  • Point person for maintenance, mailing, supplies, and equipment maintenance
  • Partner with HR to assist with onboarding activities as necessary
  • Organize facility operations and procedures
  • Coordinate with IT department on all office equipment deliveries and returns
  • Maintain an inventory of office supplies
  • Manage relationships with office vendors, service providers, and landlord, ensuring that all items are invoiced and remitted to Finance to be paid on time
  • Provide general assistance to visitors and respond to general inquiries
  • Maintain and respond to emails in shared inboxes Manage corporate-wide card access
  • Assist Executive Manager in the management of executive calendars and corporate receipts, travel arrangements and other ad hoc administrative tasks as may be required
  • Assist with catering and meeting room bookings

What you offer us

Knowledge, Skills and Abilities

  • Proven office management, administrative, or assistant experience
  • Knowledge of office management responsibilities, systems, and procedures
  • Excellent time management skills and ability to multitask and prioritize work
  • Knowledge of health and safety procedures
  • Intermediate level knowledge of Microsoft Office Suite (Word, Excel, PowerPoint) and SharePoint.
  • Excellent written and verbal communication in English.
  • Ability to work without direct supervision.
  • Strong organizational skills, the ability to prioritize multiple tasks, work efficiently, and meet deadlines.
  • Ability to 'communicate up' (to Director / VP level).
  • Interpersonal skills and the ability to work in a diverse environment

Education and Experience

High school diploma or GED equivalent required; some related post-secondary education preferred.

Occupational First Aid Certification preferred

Preference given to relevant experience in office environment.

Minimum 3 years administrative experience is required

Previous experience working as a site coordinator or office manager preferred.
