Job Description

The Role:

We are seeking a dynamic, detailed, and highly organized individual to join our team as an Executive Administrative Assistant, providing essential support to our Senior Vice President of Software and Services, Software Engineering. This role offers an exciting opportunity to work in a fast-paced environment and contributes to the success of our organization.

What you’ll do:

  • Streamline administrative tasks to optimize the valuable time of the leader
  • Implement efficient systems for managing office routines
  • Facilitate prompt handling of correspondence, global mail requests, and phone calls
  • Prepare well-crafted reports, letters, and other documents
  • Analyze routine data to provide valuable insights
  • Maintain accurate records, confidential files, and GM-specific reports
  • Schedule complex meetings and manage multiple calendars
  • Continuously seek ways to improve day-to-day efficiencies
  • Provide onboarding support for new employees
  • Coordinate travel arrangements, including visas, passports, and expense reports
  • OPRA / Procurement Tracker – invoicing for department related purchases
  • Manage invoicing for department-related purchases
  • Provide IT, cell phone, and MML assistance
  • Support non-disclosure agreement processes
  • Embrace technology and leverage tools for efficient office management

Your Skills & Abilities (Required Qualifications) :

  • At least 5-7 years of experience as an executive administrative assistant or in similar roles
  • Ability to handle highly confidential information with integrity and trustworthiness
  • Excellent time management skills, with the ability to coordinate and prioritize tasks effectively
  • Adaptability to handle last-minute changes efficiently
  • Strong attention to detail and exceptional multitasking abilities
  • Experience working with senior management or executives in an administrative capacity
  • Demonstrated planning and organizational skills
  • Strong interpersonal skills and problem-solving abilities
  • Proficiency in COe software, including MS Word, Excel, PowerPoint, scheduling, internet, and SharePoint
  • Excellent written and verbal communication skills

Education & Training :

  • Two-year degree or professional certification in a related field or equivalent work experience (ten years)
  • Four-year college degree preferred

This role is categorized as hybrid. This means the successful candidate is expected to report to Mountain View, CA three times per week, at minimum.

This job is not eligible for relocation benefits. Any relocation costs would be the responsibility of the selected candidate.

The compensation information is a good faith estimate only. It is based on what a successful applicant in the California Bay Area which includes the following counties: Marin, Contra Costa, San Francisco, Alameda, San Mateo, Santa Clara, and Santa Cruz might be paid in accordance with the California law.

The compensation may not be representative for positions located outside of the California Bay Area.

The annual salary range for this role is $ 98,900 - $ 158,000 . The actual base salary a successful candidate will be offered within this range will vary based on factors relevant to the position.

Bonus Potential: An incentive pay program offers payouts based on company performance, job level, and individual performance.
